Practical guide · Ownership evidence

Proof of share ownership: what do shareholders’ clubs require?

You have found a club and checked its eligibility rules. The next step is preparing the requested evidence: which document should you obtain, how recent must it be, and where should you send it?

This guide is for existing shareholders. It compares two French companies’ clubs, LVMH and Carrefour, to help you prepare an application. Other clubs may have different requirements.

LVMH and Carrefour: which documents should you prepare?

This table covers joining the clubs. It separates published requirements from points to confirm; the LVMH example below explains the renewal wording.

On smaller screens, scroll the table horizontally. With a keyboard, focus the table area and use the left and right arrow keys.

Point to checkLVMHCarrefour
Requested documentA securities account statement from your financial intermediary showing ownership of LVMH shares. An ownership certificate (attestation de détention), requested in the Club’s application form.
Document ageLess than three months old.No maximum age stated in the form and rules consulted. Confirm with the Club.
Information to checkThe rules do not list the statement’s fields. Ask which details are needed if your document is ambiguous. The form separates registered and bearer share quantities; it does not detail the information required on the certificate.
Submission to the ClubFollow the application link published by LVMH and the Club’s application instructions.Through the form’s upload field, by email or by post, using the details provided by Carrefour.
File formatCheck the application instructions; the rules consulted do not specify a format or maximum file size. The form states a 5 MB maximum and the extensions jpg, jpeg, png, gif or pdf.

Confirm an unspecified detail if it affects your application. Its absence does not mean that no checks apply or any document will be accepted. A form accepting a file technically does not amount to membership approval.

Identify the document actually requested

Proof of ownership is the document used to establish your shareholder status with the club. Its name and contents must match that club’s instructions: the examples here do not use a single form shared by all companies.

A securities account statement (relevé de titres) shows account holdings at a given date. An ownership certificate (attestation de détention) is intended to confirm an identified holding. Use the club’s published document name when contacting your bank or broker; do not assume these documents are interchangeable.

A declaration on honour is a statement made by the applicant. It does not automatically replace a document from the financial intermediary. For the two clubs covered here, follow the documentary requirements in the table above.

Request the document from your account contact

First identify who keeps the relevant account: your bank, broker or the service responsible for your direct registered shares. Ask which document they can provide and for which date. Availability through an online account, fees and processing times depend on that provider; this guide does not verify any institution’s services.

Name the club and share its document instructions with your account contact. Check that the document identifies the holder, company, relevant quantity and holdings date. This is a preparation checklist, not a universal list of fields required by clubs.

If the statement includes other holdings or information, ask whether a document limited to the relevant shares is available. Before redacting information, confirm with the Club that the resulting document will remain acceptable.

Two examples to follow on the official websites

Evidence supports the eligibility check. It does not replace the club’s conditions or its membership confirmation.

LVMH: prepare a recent account statement

The Club accepts individuals holding at least one eligible LVMH share: a bearer share listed in Paris or a registered share. Both French and English rules request a recent securities account statement from the financial intermediary to join. Follow the Club link from LVMH’s official page, then select BECOME A MEMBER.

For renewal, the French text requests recent ownership evidence; the English version uses “share certificate”. Both specify less than three months. If the difference in wording creates doubt, ask the Club to confirm the accepted document. Membership starts when its confirmation is received and lasts two years, provided you remain a shareholder.

Carrefour: include the certificate with your application

Carrefour states a threshold of at least one registered share or at least 100 bearer shares. Its form asks for quantities in both categories and an ownership certificate. Confirm your holding form if you are unsure which field to complete.

The form and rules consulted are in French. Open RÈGLEMENT DU CLUB in the footer to read the conditions. Choose one of the submission channels stated in the form. After reviewing the application and evidence of shareholder status, Carrefour decides whether to accept it and sends confirmation and a membership number by email.

    Checklist before submission

Read the club’s instructions again, then check your application step by step.

    1. I have checked the club’s conditions and my holding form.
    2. I have used the requested document type and checked its date; I have clarified unspecified points where necessary.
    3. The document identifies the shares and their holder; quantities and dates agree with my application.
    4. The file is legible, complete for the requested information and within published format and size limits.
    5. Any redaction remains compatible with the requirements confirmed by the Club.
    6. I am using the stated official channel and keeping a copy of the application and confirmation received.

Send documents to the club or its designated provider. Actionary does not receive statements or ownership evidence and does not approve memberships.

Subject: proof of ownership of [Company] shares for a shareholders’ club application

Hello, I would like to prepare my application to the [Company] shareholders’ club. Its instructions request [document type], [the club’s stated date requirement, or point to confirm]. Could you tell me how to obtain this document for my [Company] shares held with your institution? Please check that it identifies the holder, company, number of shares and holdings date and, if needed for this club, their holding form. I would like to know whether a document limited to the relevant shares is available. Please confirm any fees, processing time and delivery method before providing a chargeable service. The club’s official instructions are available here: [official link]. If you propose a different document, I will ask the club to confirm that it accepts it. Kind regards, [Full name]

This template requests a document; it is not a certificate for you to issue yourself. It does not guarantee service availability or the club’s acceptance of the evidence.

    Frequently asked questions

    Is a screenshot enough?

Do not assume so. An allowed image format, such as at Carrefour, does not establish which contents count as acceptable evidence. Ask the Club whether the document you have meets its requirements.

    Can I reuse older evidence?

Check the required date, your current holdings and the purpose of the application. Previous acceptance does not automatically make a document valid for another application or renewal.

Who can confirm that my application is suitable?

The institution can explain the document it provides. The Club confirms its requirements and decides on membership. If the official page is unavailable or an instruction is unclear, use the company’s published contact before sending your application.

    Official sources consulted

The date at the top records verification of this guide’s sources. Both versions of LVMH’s rules and Carrefour’s form with its footer Club rules were consulted. Carrefour’s procedural documents are in French, as the English source captions below indicate. Linked programme records retain their own verification dates.
